Share files and research with guest users

Grant limited and temporary file access to teammates without Marvin accounts

You can share data in Marvin with your team even if they don't have an account.

To help teammates create guest accounts or temporary access, Admins must enable this from Settings > Admin Settings.

How do I enable creation of guest accounts?

Admins have complete control over who can view data in Marvin. They can manage access from Settings > Admin Settings in the left navigation panel.

Admins will see three options to manage data access:

To enable creation of guest accounts, they must select Shared with organization.

Shared with organization

Temporarily share data and research with guest users who don't have Marvin accounts. Even teammates who do not have Marvin accounts will be able to access the links shared with them. However, they must verify that they have an email of your organization's domain to access shared links.*

*This option is only available for users on Pro and Enterprise plans.

To share research, any Pro or Enterprise user can share a link to a clip, file, Insight, note, etc. with a teammate. If the teammate does not have a Marvin account, they will have to verify their email ID when they first try to access a link. They can enter their email or use SSO to verify.

Once they verify by clicking the link in their email, they can access all shared research links for the next 7 days without a Marvin account or SSO approval.

Needs a Marvin account

Select this option to restrict access to teammates that have a Marvin account. They must be assigned an Admin, Full, Collaborator, or Viewer seat, and must be logged in to access any link.

Anyone who has access to the project where the file, clip, note or Playlist is stored will be able to view and edit notes, the transcript, summary, and also the rest of the project.

Users who do not have access to the project will not be able to view notes, make edits to the file, or run AI analysis on it.

In case a teammate you want to share research with does not have a Marvin account, you can invite them to your team. You can extend Viewer access to them in case they want to just consume research. Or you could extend access to everyone in your organization.

Anyone with link

Admins may choose to share research with people outside their organization by selecting "Anyone with link". This extends access to anyone on the internet, even those outside your organization. They will be able to view recordings, notes, and file summaries.

They will not have access to the rest of the project and will not be able to view notes, make edits to the file, or run AI analysis.

How do I share research?

You’ll see the Share icon on files, projects, Insights, and Playlists across Marvin.

In interviews and files, you’ll find it in the top toolbar.

You’ll also see it every time you hover over a note or clip.
