What is the difference between redacting and anonymizing speaker details

How is hiding personal information different from anonymizing speakers?

This is a distinct and more advanced redaction compared with blurring names and email addresses in the video, audio, and transcript.

When you choose to redact the name and email ID, all mentions in the transcript are crossed out in black, and you’ll hear a bleep in the audio anytime the name or email ID is mentioned by any speaker. You can also choose to blur names in the video.

Anonymizing speakers goes a step further, and replaces the name and email of the speaker with an alias in speaker tags, the Participant panel, Research Panel, Ask AI answers, notes, auto-notes, and file summaries. It effectively ensures that Marvin users cannot identify an anonymized speaker by their name, email ID or other personal details.

If you choose to anonymize any speaker in even one call, their details will be redacted in every mention in Marvin.

When should I anonymize speakers?

We recommend anonymizing speakers if your company has strict guidelines for redacting and masking PII, particularly but not limited to handling finance and healthcare data. Anonymize speakers when:

  • You want to ensure you do not store any personal details of participants anywhere in Marvin

  • No Marvin user can access or connect a participant’s name to any insight across the repository

Please consider the impact of this option before anonymizing.

When should I redact speaker names?

Consider redacting names when you need to mask the participants’ details while sharing insights or collating findings in a study, but may need their details to contact them later or for another study.

How do I redact info/anonymize speakers?

Navigate to any file from Home or Projects. Open any recording with the speakers you want to anonymize.

Select All actions > Hide participant’s personal info.

You can also navigate to this page from the Files tab in the project.

Toggle on Anonymize speaker identities.

Before you can proceed, you'll see an example of how the anonymization will appear. Click Continue to proceed.

Next, decide if you want to anonymize just external participants or everyone on the call. Marvin considers all users who have email IDs of your company domain as internal participants or interviewers.

Click Apply redaction in the top toolbar to proceed.

You'll need to confirm anonymization as it is a permanent action and cannot be reverted.

How do anonymized speakers appear in Marvin?

All speaker names will be replaced with an alias across every mention in Marvin. For example, mirelo-0847 or lenavi-1408. Their email IDs will appear as [email protected] or [email protected].

Aliases are chosen at random and have no link to the participant's name or email address.

Who can anonymize speakers?

Admins, Contributors, and Collaborators on Enterprise plans can anonymize speakers if they have access to the file. Even if you haven’t given Contributors access to view or edit the Research Panel, they will be able to anonymize speakers. This will modify the data for your entire team in Marvin.

Can I revert anonymization?

No, anonymization is irreversible. However, if required, Admins will be able give Admins and Contributors access to verify the original name and email from Admin settings. To enable this column, navigate to Admin Settings from the left navigation menu on the home page.

Is there any way to access the original name and email?

Admins can choose to hide or display the original name and email of participants in the Research Panel.

They'll find this under Settings > Admin Settings > Data access > Access to original names and email for anonymized participants.

They have 3 options:

  • Nobody has access (hide from everyone)

  • Admins only (just Admins can view the original name and email)

  • Admins and Contributors (both roles can view the original name and email in the Research Panel)

When Nobody has access, users will see the alias in the Name and Emails columns (no entry in the email column indicates that the email was not collected).

When either Admins or Admins and Contributors have access, they'll see two columns for Original Name and Original Email.
