Why should you use the Marvin Bot to record calls?
The Marvin bot is a silent digital participant that records, transcribes and summarizes your interviews, meetings and webinars. When you use the bot to record, it directly saves them to your Marvin repository.
The bot works with Zoom, Microsoft Teams, and Google Meet.
There are three ways to add the bot to a meeting:
Record an ongoing meeting
Use this option when you haven't scheduled recording in advance. It's helpful when you need to instantly add the bot to any meeting
To invite the bot to an ongoing meeting, click "Record & take notes" in the left navigation menu.
If your account is integrated with Zoom and Google Calendar, Marvin will automatically detect when you start a new meeting. You will see it under "Record & take notes".

Copy and paste the meeting link in "Meeting Link" (if the meeting requires a password, Zoom will include it in the link)
Give the meeting a name
Select a project to store the recording. You can type the project name to search.
(Optional) Enable Streaming as soon as the bot joins
Click "Join meeting". You need to admit the bot to the call as a participant.
You can stop the recording at any point from the Live Notes page in Marvin.
Add the bot to any calendar invite
You can add the Marvin bot as a participant to any meeting invite. This works exactly like inviting any other teammate or participant to a call. It's a great option to automatically record any call, especially recurring meetings.
All you have to do is copy the bot's email address and add it to the meeting invite. The bot will be like any other participant in the meeting, and automatically join the call. To use this option, select "Record & take notes" on the home page. Select "Add bot to meeting invites"
You'll see a list of projects to which you have access, with an option to "Copy email" alongside each of them. Each project in Marvin has a distinct email address. This is how the bot identifies where it should store the call you record.
If you can't see your project, search for it using the bar at the top. Make sure you select "Copy email" for the correct project.
The project-specific email address will be copied to your clipboard. You'll see a confirmation at the bottom of the screen as well.
You can also copy the project-specific email address from the home page. Just locate your project and click the email symbol. It'll copy the email address to your clipboard.
Or you can find the email ID within the project too. Click the three dot menu next to the project name in any tab. You'll see the "Copy bot's email ID" option.
Now, head over to your calendar or web conferencing tool. Find the meeting invite, and add a new participant.
That's it! Marvin will join the call automatically when the meeting begins. The host will still need to approve the recording. If the host does not give it permission, you'll see a prompt to take verbal approval from the participants.
Schedule recording for a meeting on your linked calendar
This is another way to schedule a bot for a future call. The only difference is that you can see all your meetings listed in Marvin and schedule a bot in a few clicks. This does not automatically add the bot to recurring calls. You'll have to select each meeting you want to record.
To view your meetings in Marvin, you need to connect your calendar. Once the calendar is connected, follow these steps:
Go to Meetings & Live streams in the left navigation pane
Find the meeting you want to record on the calendar
Click "Record"
Toggle on "Schedule bot to record the meeting"
Select a project to store the recording. You can type the project name to search.
(Optional) Enable Stream meeting to create a share-able link to the streaming.
(Optional) Enable Telecast meeting on "Discover Research" page.
Webinars
Marvin can join webinars whether you schedule the bot in advance or invite it while the webinar is going on.
Webinars that do not require registration
Follow the same steps as outlined earlier in this article. You can schedule and invite bots for these webinars as you would for any other call.
Webinars that require registration
After you register for this kind of webinar, you will receive a link via email.
Use this link to invite the Marvin bot to the webinar. This will work only if authentication is not required for Marvin to join. The host should have left the selected setting unchecked for the bot to be email to join a webinar.

Q. Which conferencing tool applications does Marvin work with?
A. Marvin works with Zoom, Microsoft Teams and Google Meet. If your conferencing tool is not supported, you can choose to upload the recordings to Marvin. However, you will not be able to take live notes, live stream or telecast your meeting.
Q. Do I need to connect Zoom, Microsoft Teams or Google Meet to use Marvin?
A. You do not need to integrate your conferencing tools to use Marvin bot. All you need is the meeting link. If you would like to schedule the bot in advance, you need to connect your calendar to Zoom.
Q. Do I need to connect my calendar?
A. You do not need to connect your calendar to use Marvin bot to record. However, you need to connect your calendar if you want to schedule the bot to in advance.
Q. How far in advance can I schedule the bot?
A. You can schedule the bot in advance between 30 minutes and 30 days.
Q. What should I do if I reschedule the meeting?
A.
If the updated time of the meeting is more than 30 minutes after the initial scheduled time, the bot will automatically join the new call.
If the meeting is rescheduled to less than 30 minutes after the original time, we recommend you manually invite a bot to the meeting.
If a meeting is postponed, we recommend you manually invite a bot to the meeting.
Q. What should I do if I need to start the meeting earlier?
A. The bot joins the call approximately 5 minutes before the meeting is scheduled. If the meeting starts a lot earlier than the meeting time, we recommend manually inviting a bot to the meeting.
Q. What should I do if I start the meeting late?
A.
If the meeting does not start on time, the bot will wait in the lobby for 2 hours.
If the meeting starts more than 2 hours after the scheduled time, please invite the bot manually to the meeting.
Q. Can I enable live streaming (virtual backroom) in advance?
A. Yes, you can choose to enable live stream in advance:
When you schedule the bot
As soon as the bot join when you invite the bot to join when the meeting starts
In the middle of the call on the Live Notes page
Q. If more than one user on the same project schedules the bot, what will happen? Will the stream link be the same?
A. If multiple users schedule a bot for the same call, all users will see that a bot has been scheduled for the call and the stream link will remain the same.
Q. Does the live stream link work if Zoom recording is turned on?
A. Yes, the live stream link will work even if Zoom recording is on. You do however have to admit the bot to join the call as a participant. Read more about recording calls on Zoom in our help center article
Q. Can I invite the bot to a password-protected Zoom meeting?
A. Yes, you can invite the bot to a password-protected meeting. If you invite the bot using a link to the call, Zoom will include the password in the link. You'll see the password mentioned after "pwd="
