This article will cover how to record calls on Microsoft Teams with the Marvin bot. You’ll learn how to invite and admit the bot to meetings.
Integrating your Outlook calendar
We recommend that you integrate your Outlook calendar as you can schedule the bot in advance or invite it to an ongoing meeting. To navigate to Integrations, click Settings in the left navigation menu. Click Connect under Outlook to link your accounts.
Log in to your Outlook account when the pop-up window opens*, and grant it permission to access the information mentioned in the image below.
*make sure your browser settings allow pop-up windows
You'll see a confirmation screen if you accept.
How do I record meetings with Marvin?
There are three ways to add the bot to a Teams meeting:
Add the bot to any calendar invite
Schedule the bot for a meeting on your calendar linked to Marvin
To save call recordings to your repository, you need to invite the Marvin bot to your Microsoft Teams meetings. The bot is a silent digital participant that records, transcribes, and summarizes your interview.
Invite the bot to an ongoing meeting
This option is helpful when you need to instantly add the bot to a meeting.
If your Outlook calendar is integrated, Marvin will automatically detect that you are in a meeting. Select Record & take notes.
Then select the project where you want to store this call.
If your calendar is not integrated, you'll see a few options when you select Record meeting & take notes. Select Record ongoing meeting.
You'll see fields to paste your meeting link, specify the meeting name, and choose a project to store the recording.
If the call has already begun, you'll find the meeting link under People. Click Share invite to copy the link.
You can also copy the link from your Outlook calendar.
Give the meeting a name
Select a project to store the recording. You can type the project name to search.
(Optional) Enable Streaming as soon as the bot joins
Click Invite Marvin to record the meeting. You need to admit the bot to the call as a participant.
You can also choose to record the call via Microsoft Teams and upload it to Marvin.
Granting permission to record
When you invite the bot, you’ll see a notification that the bot is waiting in the lobby.
To start recording, please Admit the bot your call.
Whether only the meeting host or all participants will be able to admit the bot depends on your settings in Microsoft Teams. You can edit this from More > Settings > Meeting options in the meeting.
Till you admit the bot, this is the message you’ll see on the Live Notes page in Marvin.
Bot granted admission
When you add the bot to your meeting, you’ll see confirmation on Marvin.
Bot denied admission
If you deny the bot entry into your meeting, this is the message you’ll see on Marvin.
If you neither admit nor deny entry to the bot, it will wait in the lobby for up to 2 hours.
Stop or pause recording
You can choose to record only part of the conversation. Choose the option to Stop recording when you don’t want to transcribe anymore.
Confirm that you want the bot to stop recording the call.
To stop recording, you can also remove the bot as you would any other participant.
You can use the Pause recording option when you want to skip recording specific parts of the call.
