Integrate with Salesforce

Analyze interactions with customers and leads, and share Marvin summaries in Salesforce

Updated over 2 weeks ago

Our two-way integration with Salesforce is designed to foster greater collaboration across product, research, support, sales, and customer success teams.

You can import data about customers and leads from Salesforce into Marvin to keep a pulse on trends and user requirements.

You can also automatically keep your team in Salesforce in the loop about each interaction a customer has across channels. For example, if they fill a survey, raise a support ticket, or complete a user interview, Marvin will automatically add a note to the contact in Salesforce.

How do I integrate my Salesforce and Marvin accounts?

On the Integrations page in Marvin, click “Connect” under the Salesforce icon. You need Salesforce Admin access to set up the integration.

You’ll be taken to a login screen where you need to enter your Salesforce credentials and grant access to Marvin.

The Salesforce integration will be activated for the entire team once connected. It only has to be set up once, and other team members will see it as “Connected” on the Integrations page.

What kinds of data can I import from Salesforce into Marvin?

Marvin can import data from your Accounts, Contacts, and Leads sections on Salesforce. To get started, create or use a list that contains all the data you want to import. You can choose if you want to import Contacts, Leads, or both from that list.

Decide if you want to sync changes between Salesforce and Marvin. We highly recommend you enable the sync. This will help your team always have the most recent information from Saelsforce. It also makes it easier to share data from Marvin and track all the touchpoints of a Salesforce contact.

We do not recommend that you delete participants from Marvin when you delete them in Salesforce, as you may still want to compare data at a later stage. You may need to enable this setting only if you need to periodically delete customer and participant information to comply with data security guidelines.

How do I sync data between Salesforce and Marvin?

To sync data correctly, you need to map a field in Salesforce to a field in Marvin. The email and name fields are synced by default.

You can link one Salesforce field to only one Marvin field. Data from a single Salesforce field cannot populate multiple fields in Marvin.

This is to avoid duplication of data in Marvin. For example, if a lead converts to a contact, this makes sure that you won’t have two entries for the same customer in Marvin.

However, you can send information from multiple Salesforce fields into one field in Marvin. You may need to do this when multiple fields together provide the required information.

Finally, choose which data source should be considered the source of truth in case the two accounts have different data. Decide this based on the platform you’ll use to keep the most updated participant information.

The first time you import information, it may take a while due to the size of the import. We’ll send you an email confirmation when it is complete, but just for this first import.

Once a day, Marvin will automatically update the data. If you need to refresh the data at any point, you can trigger the import manually from the Research Panel.

Why should I add Marvin file summaries to Salesforce?

Salesforce contacts and leads may interact with multiple teams in your organization. Marvin provides an easy way to keep sales, customer success teams, and other users in Salesforce in the loop about these conversations. They can use the Marvin recording and summaries to gain the necessary context for future chats.

You can also use this to create a customer journey of touchpoint across channels.

How do I add Marvin file summaries to Salesforce?

While setting up your integration, you'll see an option to "Send notes that summarize files to Salesforce". Enable this and choose which kinds of files should trigger a summary to be sent to Salesforce.

Marvin can add a summary to Salesforce each time a new audio/video recording, PDF, PPT, document, survey, or support ticket linked to a Salesforce contact is created.

You'll see each summary in the Notes for the corresponding contact.* You can also click the link to the call to watch the recording in Marvin. Just make sure that your Marvin admin settings let even those without an account access the recording.

Marvin will add summaries about all enabled file types, regardless of the share restrictions applied to those files or projects.

*In case Enhanced Notes are not enabled for your Salesforce account, Marvin will automatically add the information to a Legacy Note.

Marvin will automatically sync data with Salesforce once a day. If you need to refresh the data at any point, you can trigger the import manually from the Research Panel.

You can also edit your Salesforce settings from the Research Panel. You'll find this option under the "Add participant" menu.
