Choose settings to automatically delete or retain files in your repository

All your projects and related files, transcripts, notes, labels, reports etc, stay in Marvin indefinitely unless you delete them.

You can also set up rules if you need to periodically delete data to comply with privacy laws. Or if you just want to keep your repository organized with relevant and updated data.

How do I manage my team’s data retention settings?

Only Admins can access and edit data retention for your entire Marvin team.

Admins can find the settings under More > Admin Settings > Data retention

You can either keep data indefinitely or choose between two types of data deletion once a project crosses a certain time threshold.

1. File- based Retention: Delete only audio and video from files

For files that are older than your chosen retention period, audio and video will be removed. The files will remain intact and you will be able to access the transcript, notes, Insights and Playlists.

2. Project- based Retention: Delete projects not updated for a certain period

If a project hasn’t been updated for longer than your retention period, it will automatically be deleted. All associate files, notes, Insights, Playlists, transcript vocabulary and labels will be deleted. You won’t be able to access any of the data. Both project owners and admins will be notified before deletion.

Choose to delete your data after 3/6/12/18 months or 2 years.

Click “Save settings” to confirm your settings.

How do I keep track of projects being deleted?

Marvin gives you regular updates on the projects that are scheduled to be deleted and 2 days to review the files before they're actually removed.

If you’ve chosen project-based retention:

All admins and project owners will receive a monthly summary of all the projects lined up for deletion.

Marvin will also notify the project owner 2 days before the project is deleted.

The first time you set it up, the files will only be deleted 72 hours later so you have enough time to review the decision.

If you’ve chosen file-based retention:

File owners will receive a monthly summary of all the files lined up for deletion.

The first time you set it up, the files will only be deleted 72 hours later so you have enough time to review the decision.

What if I don’t want a file or project to get deleted?

We do not suggest that you prevent a file or project from getting deleted as this is an admin-recommended setting. However, we understand that some projects may be on hold and you may want to return to the data at a later stage.

To retain a project, you can:

  • Transfer data to a new project

  • Add/Delete a file from a project

  • Move a file from one project to another.

  • Update the project name or transcript language

  • Create a Playlist/Insight

  • Update the project overview

  • Update an Insight

  • Change a discussion guide

  • Change labels

  • Create a custom Kanban/Canvas board

In the rare case you want to retain a file, these are your options:

  • Change the date of the file

  • An Admin changes data retention settings

We do not recommend retaining files or projects as the data retention settings help admins make sure data privacy and retention guidelines are being followed.

FAQs

What do I do if a project inadvertently gets deleted?

In most scenarios, this situation is irreversible, and we won’t be able to recover your files. Do write to us at [email protected], and we’ll see how to help you. Please keep track of email updates and make sure you review all files and projects scheduled to be deleted.

Will deleted project data show up in AI answers?

Yes, if the AI answer was generated before the project was deleted, you’ll still be able to access it.
