Import your data from Dovetail

Migrate data from Dovetail projects to Marvin

With our inbuilt migration tool, you can easily transfer your team’s data stored in Dovetail to Marvin. Customize how you import data so you can setup quicker in Marvin.

In this article, you’ll learn what kinds of data you can transfer, where it is stored in Marvin, and how to transfer projects in a few simple steps.

Initiate transfer request with Marvin Support

Before you begin, please reach out to us at [email protected]. Our support team will enable the option to import from Dovetail. Once we send you an email confirmation, you’ll see the option under “New project” on the homepage

Select “Import from Dovetail” to begin the transfer.

Step 1: Add Marvin as a user on your Dovetail workspace

Copy the email address under "Add the following email as a user to your Dovetail workspace. The email ID may vary by the region in which you’re based, so please add the email address you see on Marvin, and not the one visible in this image.

To ensure seamless data transfer, please add the specified email address as a Collaborator to your Dovetail team. In case that is not possible, please invite the email address to be a Viewer in your Dovetail workspace. However, as a Viewer, you will not be able to import file tags in the correct hierarchy.

Step 2: Add a link to your Dovetail project

In Dovetail, navigate to the project you want to import. Click “Share” in the top toolbar. In the modal that opens up, select “Copy link to view”. Copy the link to the project.

Now head to Marvin and paste this under “Project URL”.

Click "Next" to proceed.

Step 3: Specify the project name, date, and access

On the next screen, you can check and edit the project metadata.

Project name: Marvin will autofill the existing name in Dovetail. If you want to keep the project recognizable for users that were accessing it in Dovetail, we recommend you retain the same name.

Project date: By default, Marvin will set this to the date on which you’re importing the project. However, we recommend that you change this to the date when the research was conducted. You can use this date to apply filters in Ask AI and Cross-project analysis to get more targeted results.

Share project: Decide which team members you want to share the project with. You can keep it private, share with the entire team, all admins or all editors (Contributors, Admins).

Step 4: Select which data to transfer

Now choose whether you want to migrate all the data in your Dovetail project or only specific types of information.

What kinds of data can I transfer to Marvin?

Marvin can automatically detect and import:

Tags (labels in Marvin)

Tags will be imported from Dovetail in the hierarchy specified there, as long as you grant Collaborator access to the user you added to the workspace. If you can only grant Viewer access, all tags will be imported, but Marvin will not be able to determine if they are child or parent labels.

Highlights

Marvin will automatically transfer all Highlights from Dovetail and add them as notes to relevant clips or text in each file.

All Highlight are attached to specific files in Dovetail. You can only import Highlights if you also import the project files.

You may note some minor discrepancies between the text in Highlights and the transcript in Marvin.

Insight reports

You can transfer reports from Dovetail and access them from the Insights tab in the project in Marvin. However, Marvin will not be able to import video, audio, or rich text embedded in the Dovetail Insight reports.

At this stage you must also decide who will have access to the Insight reports in Marvin. If you want to share the reports with the entire team, please select “Publish all Insights”.

If you leave it unchecked, all Insights will be imported as drafts and shared with all users who have access to the project. They will not be visible or accessible to your entire team in Marvin till you publish them.

Which data will not be transferred?

When you export data from Dovetail, answer blocks, video, audio, rich text, summaries, and search boxes inside Insights and text documents are not imported.

Unfortunately, we don’t receive this data from Dovetail and do not have control over this.

Step 5: Confirm and check the transfer

Once you've decided which data to transfer, click “Import”. It will take between 15 minutes and 1 hour, depending on the size of the project.

Once complete, you’ll see a summary of the files that were successfully transferred to Marvin. You’ll also receive these details in email, so feel free to close this tab. Marvin will keep processing the transfer in the background.

Where can I access all the imported files?

For each project you transfer from Dovetail, you’ll see a corresponding project in Marvin.

You can access recordings and text documents in the Files tab within the project. You'll find all Insight reports will be in the Insights tab.

FAQs

Q. Can I import multiple projects together?

A. You must import each project separately, as the data you migrate may differ by project. However, you can import multiple projects simultaneously.

Q. Which data will not be imported?

A. Video, audio, and rich text embedded in Insights and text documents, will not get imported. You also won't be able to import CSV files in your Dovetail project.
